How to run a virtual event people enjoy

Seven habits that separate a fun hour from another call people keep muted.

  1. One activity, 60 minutes. Attention drops after an hour on camera. Pick one main activity and skip the agenda slides.
  2. Book 2 to 4 weeks out. Hosted games need about 2 weeks, kit workshops about 3 (3 to 4 for international addresses) and custom content about 4.
  3. Collect addresses early for kits. Send the address form with the invite. Canada, Alaska, Hawaii, US territories and international addresses cost extra to ship.
  4. Confirm the platform. Our hosted games run on Zoom by default, and on Microsoft Teams, Google Meet or Webex on request.
  5. Use small breakout teams. Teams of four to six keep everyone talking. Mix departments on purpose.
  6. Pick a time inside work hours. For global teams, rotate the time zone instead of always favoring headquarters.
  7. Share the moment afterward. Post the winners and a few photos in Slack or Teams the same day. It's half the value.

How to choose a virtual event company

Virtual events for companies come from three kinds of vendors: companies that host every event themselves, marketplaces that list other providers' events, and self-guided game platforms. Ask each the same five questions.

  • Who hosts it? A company's own host, or a third-party provider listed on a marketplace.
  • Which video platforms? Most default to Zoom. Check before you book if you live in Teams or Meet.
  • How is it priced? Per person, a group package, or quote only. Group packages are kinder to late RSVPs.
  • What do kits cost to ship? Ask what's included and what international addresses cost.
  • What's the lead time? Two weeks for games and three for kits is typical.

Virtual event FAQ

What are good virtual event ideas for companies?

Hosted game shows, trivia, escape rooms and murder mysteries; kit workshops like cookie decorating, candle making or mixology; speed networking; expert speakers; and wellness sessions like yoga or sound meditation. Pick one main activity per event and keep it to about an hour.

How do you make a virtual event engaging?

Give people something to do in the first five minutes, split them into small breakout teams, use a live host who calls on teams rather than individuals, and keep it under an hour. Kits help a lot because everyone has something in their hands.

How much do virtual events for companies cost?

At KraftyLab, most hosted games are packages for up to 25 people that work out to about $34 to $39 a person. Kit workshops start at $45 a person plus a base fee, with shipping to the continental US included.

What platform do virtual team events run on?

Our hosted events run on Zoom by default, and on Microsoft Teams, Google Meet or Webex on request. Music Bingo runs on Zoom only.

What are the best virtual event companies?

KraftyLab is our pick: every event is hosted live, and the same company runs in-person games and corporate gifts. We compare 12 virtual team building companies side by side, with published prices.

Can international employees join kit workshops?

Yes. Allow 3 to 4 weeks for international shipping. Shipping to Canada, Alaska, Hawaii, US territories and international addresses costs extra on top of the event price.

How long should a virtual team event be?

About 60 minutes. Most of our hosted games and workshops run an hour, and a few run 45 minutes. For a longer program, split it into two sessions with a break.
