How global kit delivery actually works

International shipping fails on timing, not on distance. The whole plan is built around the one date that cannot move.

Collect addresses, not guesses

Participants submit their own shipping details, so you are not chasing a spreadsheet. Domestic kit events need addresses 14 days out; international destinations need 3-4 weeks.

Plan backward from the event date

Each country gets its own lead time, calculated backward from the day of the event rather than forward from the day you order. That is the difference between a kit arriving and a kit arriving in time.

Clear customs before it is a problem

Customs documentation for international shipments is handled as part of fulfillment. Where a country restricts an item, we source locally or supply a materials list instead.

Track every kit individually

Kits are tracked one by one and typically land at least three days early, so any exception is found and fixed while there is still time to fix it.

Restricted items

Some countries restrict alcohol, essential oils, or soil. We flag those destinations before you book rather than after a kit is stopped at the border.

Local sourcing

For restricted countries we can source materials locally for an extra fee, or provide a materials list so participants can pick the items up themselves.

Expedited options

Booking late is not automatically fatal. Expedited shipping can be arranged for kit-based activities, though expedited fees may apply.

The challenge

A Google team wanted a shared holiday moment for 60 people spread across North America and Europe. The hard part was not the event — it was the logistics. What we did

The event ran start to finish without a logistics interruption — and the team got the thing they actually wanted: 60 people building gingerbread houses together, laughing at each other's structural failures, in one room.

The challenge

BenefitFlow's team spans two hemispheres and four countries. Most of them had never shared a physical space. They wanted their holiday party to do more than fill an hour on the calendar — they wanted people to actually get to know each other.

What we did

  • Coordinated kit delivery to the Philippines, Argentina, the United States and Brazil against a single event date
  • Recommended terrarium making for the group size — a slower, hands-on build with natural pauses, which makes it one of our best experiences for conversation
  • Facilitated a 60-minute session structured so a 25-person group could stay in one room and everyone got airtime

The result

Twenty-five people in four countries built something together and left with a terrarium on their desk as a reminder of it. The shared activity did the work that small talk on a video call never does — it gave people something to do with their hands while they talked, and the conversation followed.

  • Built a step-by-step painting experience that a complete beginner could follow and still be proud of the result

The result

Forty people in three countries painted the same custom piece — one built around the goals they had worked on all year. The theme turned a fun holiday activity into something with meaning attached to it, and the finished paintings became a shared artifact of the year across the entire team.

Global shipping questions

Do you ship event kits internationally?

Yes. International shipping is available for most event kits. We ask that international addresses are provided 3-4 weeks before the event so there is room for customs and carrier transit. Some countries restrict items like alcohol, essential oils, or soil.

How much lead time do international kits need?

International addresses need 3-4 weeks of lead time to account for customs and delivery. Domestic kit events have a minimum lead time of 16 days, with addresses submitted at least 14 days before the event. Kits are typically expected to arrive at least 3 days before the event so there is time to resolve any issue before it matters.

What happens if a country restricts something in the kit?

For countries with shipping restrictions we can source materials locally for an extra fee, or provide a materials list so participants can source the items themselves. Contact us with your destination countries and we will confirm what is possible before you book.

Do you handle customs paperwork?

Yes. Customs documentation for international shipments is handled as part of fulfillment, so your team does not have to file anything. Kits are tracked individually and delivery is confirmed ahead of the event date.

Can participants without a fixed address still take part?

Yes. Where a kit cannot reach someone in time, or a destination is restricted, we plan around it — local sourcing, a materials list, or a no-kit activity for that group. Nobody has to sit out their own team's event.

Can you expedite shipping if we book late?

Often, yes. Expedited shipping can be arranged for kit-based activities, though expedited shipping fees may apply. Tell us the event date and destination countries and we will tell you honestly whether it is achievable.
