The challenge
A Google team wanted a shared holiday moment for 60 people spread across North America and Europe. The hard part was not the event — it was the logistics. Four countries meant four different shipping realities: customs paperwork, international carrier timelines, and a hard deadline where arriving a day late means someone sits out their own team's holiday party.
What we did
- Built a country-by-country shipping plan with international lead times calculated backward from the event date, not forward from the order date
- Handled customs documentation for all Ireland and UK shipments
- Tracked every kit individually and confirmed delivery ahead of schedule for all 60 participants
- Ran the live experience with a facilitator who kept a multi-time-zone room moving at one pace
The result
Every kit landed ahead of schedule. Not one participant was left without materials. The event ran start to finish without a logistics interruption — and the team got the thing they actually wanted: 60 people building gingerbread houses together, laughing at each other's structural failures, in one room.
