Two ways to set up a hybrid event

Choose before the day; it decides what you need in the room.

  • Recommended for most games

    Everyone on their own laptop

    Office people join the call from their own laptops, with headphones, even when they sit in the same room. Everyone has a face on screen, a chat box and a vote.

    Best for
    Escape rooms, trivia with individual answers, bingo, kit workshops.
    Watch out for
    Only one device in the room should have its speaker and mic on, or you get echo. Headphones fix it.
  • The room plays as a team

    The conference room joins as one participant: one camera, one mic, the host on the big screen. The room plays as one or two teams; remote players form the others.

    Best for
    Game shows and trivia where a team talks over each answer together.
    Watch out for
    Remote players cannot hear side conversations in the room. Mix at least one remote person into the room's team, joining on a laptop.

Hybrid room setup checklist

Seven checks for the conference room. Most hybrid events that go wrong go wrong on sound, so start there.

  • Camera at eye level, wide enough for the whole table. Remote players should see faces, not the tops of heads.
  • One audio source in the room. A speakerphone or room mic that hears the whole table, and every laptop in the room muted with its speakers off.
  • The host and the remote faces on the big screen. Pin the host; switch to gallery view during team rounds so the room can see who is playing.
  • A laptop in the room for chat and answers. Many rounds collect answers in chat or a link; give the room one person to type.
  • Rename the room on the call. “NYC office, 6 people” helps the host build teams and call on the room by name.
  • A wired connection for the room device. The room is a lot of people on one link; if it freezes, six players drop at once.
  • Join 10 minutes early. Test sound both ways with a remote colleague before the host starts.

Four habits that keep remote people in the game

The setup gets everyone on the call. These keep the remote half from becoming the audience.

  • Run it on the call, not in the room

    The activity lives on the video call and the room joins it, never the other way round. Remote people should not be watching an office party through a window.
  • Mix every team

    Put remote and office people on the same teams, so the remote half is not a separate, quieter league.
  • Let remote people go first

    When a team discusses an answer, ask the remote players first. The room will always be louder.
  • Send the kit to wherever people will be

    For a kit workshop, collect each person's address for that day: home for remote staff, the office for people coming in.

What are good hybrid team building activities?

How do you run a hybrid team building event?

Put the host and the game on the video call. Either everyone joins from their own laptop, including people in the office, or the conference room joins as one team with a single camera and mic. Mix office and remote people on each team.

Should people in the office join on their own laptops?

For most games, yes. It gives everyone the same view, chat and vote. Use headphones, and keep only one device in the room with its speaker on to avoid echo.

Can kits go to both the office and people's homes?

Yes. We ship a kit to each participant's address, so office staff can receive theirs at the office and remote staff at home. Continental US shipping is included; Canada, Alaska, Hawaii, US territories and international addresses are add-ons. Book kit events at least 3 weeks ahead.

Which video platforms do you use?

Zoom by default, with Microsoft Teams, Google Meet or Webex on request. Music Bingo is Zoom only.

Can the office half do something in person?

Yes. In 17 US cities, Feud Night, Team Trivia, Music Bingo, Blitz-Speed Trivia and painting workshops run in person at your office. Some teams book an in-person game on an office day and a virtual one for everyone.

How much does hybrid team building cost?

The same as a virtual event: hosted games start from about $34 a person, priced as a package for your group, and kit workshops start from $45 a person plus a base fee. You see the full price before you book.
