How to plan a corporate event

Six steps, in order. The lead times are the ones that catch planners out.

  1. Start with the goal, then the format. Meeting new people, celebrating a win and thanking clients need different events. Decide in person, virtual or hybrid next; it drives everything else.
  2. Set a per-person budget. Hosted games often land around $35 to $40 a person; kit workshops add the kit. Food, venue and travel come on top for in-person events.
  3. Book 2 to 4 weeks out. Hosted games need about 2 weeks, kit workshops about 3 (3 to 4 for international addresses) and anything custom or branded about 4.
  4. Pick a date people can make. Tuesday to Thursday, inside working hours, beats Friday evening. For global teams, rotate the time zone instead of always favoring headquarters.
