How much does a corporate event cost? 8 benchmarks

Dated figures from named sources, each linked. Use them to sanity-check a corporate event budget, not to replace local quotes.

The GBTA figures are forecasts for business meetings, so treat them as a check for a full offsite day, not a party. The federal per diem is what agencies reimburse one traveler for meals, not an event menu with drinks, service and tax.

Event budget planning in 6 steps

  1. Start from the approved number. Ask what per-person figure your approver will accept, then multiply by headcount.
  2. List every line. Use the 12-line template, and keep the lines you expect to be zero so you remember to ask.
  3. Split per-person and fixed costs. Food and gifts scale with headcount; the venue and most activity packages don't.
  4. Get two or three quotes for the big lines. Food and drink, the venue and the activity usually make up most of the total.
  5. Add contingency. 10% for most events, 15% to 20% for a new venue, a new city or travel.
  6. Track actuals as invoices arrive. Keep the final sheet: it is next year's starting budget.

8 hidden costs to budget for

The lines that turn an approved budget into an awkward follow-up email.

  • Service charge plus tax. Hotels and venues add both to food and drink; get each percent in writing.
  • Food and drink minimums. A free room often comes with a minimum spend you must hit.
  • Overtime. Venue staff, AV techs and security bill extra when the event runs late.
  • Delivery fees and tips. Catered office food rarely arrives at the menu price.
  • Rentals the venue doesn't include. Linens, extra chairs, a stage or a coat rack each cost something.
  • Shipping outside the continental US. Kits and gifts to Canada, Alaska, Hawaii or abroad cost more and take longer.
  • No-shows. For a casual office party, order food for about 90% of RSVPs.
  • Late changes. Rush shipping and headcount changes after a deadline cost more.

Virtual event budget and hybrid events

  • No venue or travel lines. The activity, kits and any food delivery credit become the big costs.
  • Kits are per person. Most kit workshops are a price per person plus one base fee, with continental US shipping included.
  • Time zones. Hosted games can run as two sessions for teams split across time zones; budget each as its own line.
  • Hybrid. Run an in-person format in the office plus a virtual session for remote staff, or one virtual event for everyone.

See how a mixed team can share one event on our hybrid team building page.

Put a real price on the activity line

The activity is the line most planners guess at. These four show their price for your headcount before you book.

  • An office party: a host runs Feud Night, a Family Feud-style game, at your office or venue in 17 US cities.
  • A remote team: Fun-Filled Feud is a hosted game show on Zoom, or Teams, Google Meet or Webex on request, in 60 minutes.
  • Something hands-on: Cookie Decorating ships cookies, icing and sprinkles to every home for a hosted class. Kits need about 3 weeks.
  • An offsite: Team Trivia, hosted at your venue, with each team’s captain answering on a phone.

Book hosted games about 2 weeks ahead and kit workshops 3 weeks ahead (about 5 for international addresses). December dates fill first. Compare live totals for 25, 50 and 100 people on our corporate team building page, browse every virtual holiday party format and all team building kits, or find your city under in-person team building. Event budget FAQ

How do I create an event budget?

List every cost line and split it into per-person costs (food, gifts, kits) and fixed costs (venue, AV, the activity). Multiply the per-person lines by headcount, add the fixed lines, then add 10% for contingency. Track what you actually spend in a second column as invoices arrive.

What should an event budget include?

Venue, food and drink, service charge and tax, AV, activity or entertainment, kits and shipping for remote guests, decor, gifts or prizes, staffing, transport, insurance and permits, and contingency. Keep the lines you think will be zero; they remind you to ask the vendor.

How much should a company budget per person for a holiday party?

There is no standard figure. An ezCater survey put holiday party food and drink at about $59 per employee in 2025, before any activity, decor or gifts. Fixed costs like a hosted game get cheaper per person as the group grows, so run your own headcount through the calculator.

How much does corporate team building cost per person?

It depends on the format and headcount. Hosted virtual games are usually a package for the group, kit workshops a price per person plus one base fee, and in-person games a package as well. Our corporate team building page shows live totals for 25, 50 and 100 people.

What percentage of an event budget should go to contingency?

Hold 10% for most events. Go to 15% or 20% for a new venue, a new city, outdoor plans or anything with travel. If you don't spend it, report it as savings.

What is the biggest expense in an event budget?

Food and drink, for most in-person events. GBTA's July 2026 forecast names food and beverage and production as the main drivers of rising meeting costs. For a virtual event, the activity and any kits usually take that spot, since there is no venue or catering.

How do I budget for a virtual or hybrid event?

Drop the venue and travel lines, and add the activity fee, kits with shipping, and a food delivery credit if you offer one. For a hybrid event, budget an in-person format for the office plus a virtual session for remote staff, or one virtual event for everyone. Hosted games can run as two sessions for teams split across time zones.

Is there a free event budget template for Excel or Google Sheets?

Yes. Copy the 12-line template on this page, or build your budget in the calculator and press Copy for Sheets or Excel. Both paste in as columns, with planned and actual side by side, and there is no email form.
