Client gift etiquette: limits, policies and timing

A gift that breaks a client's policy is worse than no gift. Six rules that keep it welcome.

  • Ask about their gift policy.

    Many companies cap what employees may accept, and some ban gifts outright. If you're unsure, send something modest or one shared gift for the team.

  • Government clients have hard limits.

    US federal employees can generally accept unsolicited gifts worth $20 or less per occasion, and no more than $50 a year from one source. State and local rules vary and are often stricter.

  • Regulated industries have their own rules.

    Financial services, healthcare and public companies often require gifts to be logged or kept under a set value. Your contact will know; ask them.

  • Know the tax line.

    In the US, a business can deduct up to $25 per recipient per year for gifts (IRS Publication 463). Check with your accountant before planning around it.

  • Never tie a gift to a decision.

    No gifts during an open bid, a renewal negotiation or a procurement review. Send after the contract is signed, not before.

  • Treat everyone on the account the same.

    If you send to one person on a team, send to the others at the same level, or send one gift for the group.

When to send client gifts

December is the busiest week for client gifts and the easiest week to get lost in. These moments land better.

Order about 2 to 3 weeks ahead for smaller unbranded orders. For 100 or more gifts, or anything with your logo, allow 4 to 6 weeks.

  • The first week of a new account. A welcome gift sets the tone before the first invoice does.
  • A launch, go-live or project close. Tie the gift to work you did together, and say so in the note.
  • A renewal. Thank them for staying, not for paying.
  • A referral. The best clients send you other clients. Thank them every time.
  • Their own milestones. A new office, a promotion, a funding round or a company anniversary.
  • Thanksgiving week or the New Year. Gifts that land outside the December rush get noticed and remembered.

Shipped to each client, wherever they work

  1. Ask where it should go. With hybrid schedules, office deliveries can sit in a mailroom for weeks. Ask contacts for the address they prefer.

  2. Send the recipient list. A spreadsheet with names and addresses: homes, offices or both, in the US and internationally.

  3. Approve the note and branding. Your message on each card, plus logo ribbon, inserts or gift tags if you want them.

  4. Each gift ships on its own. Packed and sent to every address individually. Timing and regional charges depend on the list.

Name something you did together, sign it yourself and keep it to two sentences. A sales pitch in the card undoes the gift.
