Vendor and supplier gifts

Gifts for vendors and suppliers who made your year

The best gifts for vendors and suppliers are modest and made to share: one box or tower for the team behind the account, within their gift policy, with a note that names what they did. Gifts from $22 to $432.

What to send each kind of supplier

Send to the team behind the account, not just your contact: one gift for their office, sized for how many people share it. One real gift for each kind of supplier:

Every gift is chocolate. If someone on the team has an allergy or a diet to work around, check the ingredients before you order.

Every gift opens our partner store, where you can order online. Sending to a long list or adding your logo? Get a free quote with volume pricing instead.

Check the supplier's gift policy first

Gift rules often cover gifts from customers too, so your thank-you has to fit their policy, not just your budget.

  • Ask before you send.

Many companies cap what their staff may accept from customers, and some ban gifts outright. The account manager knows the rule; ask them.

  • Send one gift to the team.

A box or tower for the office is easier to accept than a gift for each person, and it reaches the people behind the account.

  • Ship to the office, not a home.

A gift on the supplier's front desk is open and shared. Asking for a home address can feel personal from a customer.

  • Stay out of a live bid.

Send after an RFP is awarded or a renewal is signed, so a gift never reads as a signal to one bidder.

  • Check your own policy too.

Some companies' gift rules cover giving as well as receiving, and some ask for gifts to be logged. Your procurement or ethics office will know.

Shared gifts count differently. The Southampton, $132, shared by 10: about $13 each. Some policies look at the total value and some at the value per person; ask which.

The tax line. The IRS says you can deduct no more than $25 for business gifts to each person during your tax year (IRS Publication 463). Check with your accountant on how it applies to a gift for a team.

When to thank your suppliers

December is when every supplier gets a box. January, or the week after your busiest stretch, is when yours stands out.

  • To arrive by Friday, December 18, 2026

Before the holiday break: The classic moment. Their office is still open and the year's work is fresh.

Without branding: order by Friday, November 27, 2026

With your logo or 100+ gifts: order by Friday, November 20, 2026

  • To arrive by Monday, January 11, 2027

After the holiday rush: Their December pile is gone, so yours is the only box on the front desk.

Without branding: order by Monday, December 21, 2026

With your logo or 100+ gifts: order by Monday, November 30, 2026

Better moments than December

  • After peak season.

The week after your busiest stretch, when the plant, carrier or warehouse that covered it can finally breathe.

  • After a launch or a rescue.

The supplier who expedited parts, fixed an outage or rebuilt a campaign overnight. Send it while everyone remembers.

  • When a renewal is signed.

A thank-you for last year, once the paperwork is done, never while terms are open.

One list for all your suppliers

Twenty suppliers should take one afternoon, not twenty orders.

  1. Start from your supplier list. Pull your top suppliers by spend or by who saved you this year from accounts payable or procurement.

  2. Get the office address and team size. Ask each account manager where the team sits, how many people will share it, and what their gift policy allows.

  3. Pick one gift per tier. One for a small team, one for a large office, one for your most important supplier. Fewer choices, fewer mistakes.

  4. Send one spreadsheet. Company, contact, address and note per row. Each gift ships to its own address, and minimums are typically 10 per gift.

Suppliers outside the US? Put them on the same list and ask in your quote: timing and shipping charges depend on the destination. For 50 or more gifts, see bulk corporate gifts.

A note that names what they did

Suppliers hear thank you for your business all December. Name the order, the rush or the fix, and sign it from the people who work with them.

Supplier notes you can adapt

  • Thank you for getting every order out on time through our busiest quarter. Something for the whole team to share.
  • Your crew kept our launch on schedule when it mattered most. Thank you from all of us.
  • Twelve years of working together and still the first call we make. Thank you for another good year.
  • Thanks for jumping on the March outage at 2 a.m. We noticed, and we are grateful.

Vendor and supplier gift questions

What are good gifts for vendors and suppliers?

A shareable gift for the team behind the account: a chocolate tower or gift box for their office, sized for how many people work on your orders, with a note that names a specific rush, launch or fix they handled.

How much should you spend on a supplier appreciation gift?

Keep it modest and inside the supplier's gift policy. A $40 to $100 gift suits most account teams, a larger shared box suits a key supplier's office, and a small gift suits a freelancer or one contact. Our gifts run from $22 to $432.

Can vendors accept gifts from customers?

It depends on the vendor. Many companies cap what their staff may accept, and some ban gifts outright, including gifts from customers. Ask your account manager, and send one shared gift for the team when in doubt.

When should you send vendor appreciation gifts?

Before the holiday break is the classic time; to arrive by Friday, December 18, 2026, order unbranded gifts by Friday, November 27. January, or the week after your busiest season, is when your gift stands out. Never during an open bid or renewal.

Should a vendor gift go to the office or a home address?

The office. A gift on the supplier's front desk is shared and open, and asking a vendor's staff for home addresses can feel too personal from a customer.

Can vendor gifts carry our logo?

Yes. Printed packaging, branded ribbon and inserts are available where the gift allows, plus a personal message inside. Branding needs 4 to 6 weeks and can raise the minimum.

Can you ship gifts to many suppliers at once?

Yes. Send one spreadsheet with each supplier's company, contact, office address and note, and each gift ships to its own address. Minimums are typically 10 units per product.

Are vendor gifts tax deductible?

The IRS says you can deduct no more than $25 for business gifts to each person during your tax year (IRS Publication 463). Ask your accountant how it applies to a gift shared by a team.
