What an ERG event costs

Live totals for three common choices at real ERG headcounts. Hosted games are a package, kits are priced per person, and facilitated workshops are one flat fee.

Live totals by headcount
Event15 people25 people40 people
Black History Trivia & GamesHosted heritage game$975$975$1,195
Candle MakingKit workshop$1,399$2,079$3,099
Allyship in the WorkplaceFacilitated workshop$3,500$3,500$3,500
  • Spend on one anchor event a year, in your own heritage or awareness month, and run free events the rest of the year.
  • Pick a group package over a per-person price when you expect allies to join: a hosted game covers up to 25 guests for one price.
  • Split the cost with a co-hosting ERG, so each group pays half of one package.
  • Ask your DEI office or HR to fund the observance month itself, and keep the ERG budget for member events.
  • Pay by card or invoice: a PO booking gets an invoice instead of a card charge.

Co-host with another ERG

Two groups, one event: a bigger room, half the cost each, and members who meet people outside their own ERG.

  • One event, two budgets

Two ERGs split one hosted package. Each pays half, and both groups get a bigger room.
  • One invite from both leads

Send a single invite signed by both ERG leads and both executive sponsors, so members of each group feel asked.
  • Mixed breakout teams

In most heritage games teams change between rounds, so members of each ERG end up playing together.
  • A date that fits both

Pick a month that matters to both groups, or alternate: one ERG hosts in its month, the other in its own.

Get members and allies to show up

Turnout is set by the invite, the hour and who asks.

  • Open it to every employee and say in the invite that allies are welcome.
  • Hold it at lunch and send the invite 2 to 3 weeks ahead.
  • Ask your executive sponsor to open the hour with two minutes on why the month matters.
  • Spread across time zones? Noon Eastern is 9 am Pacific.
  • Share photos and scores in the ERG channel the same day.

ERG event questions

What are good ERG event ideas?

Tie the event to your group's heritage or awareness month and keep it to a 60-minute lunch slot: hosted heritage trivia, an allyship or DEI workshop, or a kit workshop co-hosted with another ERG. Open it to allies, and run free events like book clubs or speaker chats between.

When are the 2027 heritage months?

Black History Month is February, Women's History Month is March, AAPI Heritage Month is May, Pride Month is June, Hispanic Heritage Month runs September 15 to October 15, Disability Employment Awareness Month is October and Native American Heritage Month is November.

How much does an ERG event cost?

A hosted heritage game is $975 for up to 25 people. A kit workshop for 15 people is $1,399 with continental US shipping included. Facilitated workshops are one flat price for the group. Every card on this page shows its live price.

How far ahead should an ERG book?

Hosted games and workshops about 2 weeks ahead, so book a February 1, 2027 event by January 18, 2027. Kit workshops need about 3 weeks for US addresses, and about 5 weeks with guests in Canada or abroad. Customization takes about 4 weeks.

Can two ERGs co-host one event?

Yes. Book one event, split the price between the two budgets and send one invite from both leads. Mixed breakout teams put members of both groups together.

Can the ERG pay by invoice?

Yes. Reserve online with a 50% deposit by card, or pay by invoice or PO. Enterprise customers can use monthly invoicing, with a budget per team.

Which video platforms do you use?

Zoom by default, with Microsoft Teams, Google Meet or Webex on request. A live host runs every event.
