Virtual offsite: agenda, activities and prices
A virtual offsite works best as two half days of about four hours on video: short work blocks with breaks, a hosted game to close day 1, and a kit shipped ahead that everyone opens together on day 2. Book the game 2 weeks ahead and the kit 3 weeks ahead, or 5 with guests outside the US.
A live host for every game and workshop · Zoom, Microsoft Teams, Google Meet or Webex

A virtual offsite agenda in two half days
Times count from the start of your window. You run the work blocks; a host runs one social block each day.
Day 1: look back, decide, then play
Four hours. The hosted game closes the day, so people log off laughing.

Rules that keep screen fatigue down
A video offsite fails from tiredness long before it fails from content.
- No block runs past 50 minutes without a break.
- Ten minutes off camera every hour, plus one 15-minute break each day.
- Four hours a day at most. Two half days beat one eight-hour call.
- Send the pre-read two working days early, so the call is for discussion.
- Cameras on for breakouts and the social block, optional for updates.
- End on time. The last 20 minutes of an overrun get nothing done.
If it has to be one day
- Six hours on the call at most, with a 45-minute lunch off camera.
- Work blocks in the morning, one social block after lunch: the game or the kit, not both.
- Book a 60-minute meditation session as the reset between afternoon work blocks.
- Finish by mid-afternoon in the westernmost time zone.
Picking the window across time zones
Each card is the same four-hour block read in five cities. Grey spans start before 8 AM or end after 7 PM.

A hybrid offsite, with one office in a room
One team together in a meeting room, everyone else at home, all on the same link.
- Put the host on a big screen the room can see and hear.
- Give the host a camera and microphone on the room, so they can see and hear it too.
- Test the setup on the event link the day before.
- For breakout games, people in the room join on their own laptops with sound off, so teams mix office and remote.
- In work blocks, remote people speak first. The room has the advantage already.
- Ship the room's kits to the office address so they open them with everyone else.

Virtual offsite questions
What is a virtual offsite?
A virtual offsite is a remote team's offsite run on video: one full day or two half days of planning sessions, with one hosted social block per day so the team does more than sit in meetings.
What should a virtual offsite agenda include?
Two half days of about four hours. Day 1: a welcome with the one question to answer, updates, breakouts, readouts and a hosted game to close. Day 2: open a shipped kit together, then plans, owners and one commitment per team. Keep every block under 50 minutes with a break after it.
What are good virtual offsite activities?
A hosted game on day 1, such as trivia, game show rounds or an escape room in mixed teams, and a kit workshop on day 2 that everyone opens together, such as coffee tasting, candle making or a terrarium. Our virtual offsite ideas guide lists more.
How long should a virtual offsite be?
Two half days of three and a half to four hours each, back to back. A single day works if it stays under six hours on the call with a long lunch off camera.
How do you run a virtual offsite across time zones?
Find the four-hour window that keeps most people between 8 AM and 7 PM, and split into two half days so nobody does a long day at an odd hour. For US and European teams, 10 AM to 2 PM Eastern is 3 PM to 7 PM in London.
How much does a virtual offsite cost?
Trivia with a Twist! on day 1 and Coffee Tasting on day 2 come to $7,134 for 60 people at today's prices, with the hosts and continental US kit shipping included. Each card shows the live price for your headcount. A 50% deposit holds the dates, and you can pay by card or invoice.
How far ahead should we book?
2 weeks for a hosted game, 3 weeks for a kit with US guests, 4 weeks for a branded kit box and 5 weeks with anyone in Canada or abroad. Count back from day 2, when the kit is opened.
Can part of the team join from an office?
Yes. Put the host on a big screen the room can see and hear, give the host a camera and microphone on the room, and test it the day before. Ship the room's kits to the office.
How is this different from an in-person company offsite?
Nobody travels, so it fits in two half days instead of two or three full ones, and the social part comes to each home in a box. For an offsite where everyone meets in one place, see our company offsite page.
