Team building for associations

An association needs two kinds of events: a thank-you for the small staff that serves thousands of members, and member engagement events like chapter meetings, member appreciation and virtual networking. Both run as 60-minute hosted events on your video call, planned around the annual conference.

Two buyers inside one association

The staff and the members want different things from an event, and they pay for it from different budgets. Plan them separately.

  • Staff events

A small staff serving many members

Often 5 to 40 people running a conference, a magazine, education and member services. They need a thank-you that fits around the annual meeting, from the operating budget.
  • Member events

    Members, chapters and committees

Anywhere from 25 to several hundred people who pay dues and expect value between conferences. Chapter meetings, member appreciation, virtual networking and conference add-ons.

Member engagement events

Members renew when they get value between conferences. Four kinds of event most associations run, and what to book for each.

  • Chapter meetings

Open the meeting with a 60-minute hosted game, then chapter business. Members who skip the agenda come for the game.
  • Member appreciation

A thank-you for renewing members, volunteers or committee chairs. A magic show for a big group, a tasting kit for a small one.
  • Virtual networking

Members join for the people. Timed one-on-ones or a game show mixer; see virtual networking events.
  • Conference add-ons

An opener, a break between sessions or a closing social. See virtual conference entertainment.

The association year, planned around the annual meeting

Your conference sets the calendar. Here is a year around a sample annual meeting on May 11 to 13, 2027; move each date with yours.

  • Before the conference

    Meet before you meet

A virtual networking hour for first-time attendees on Wednesday, March 10, 2027, so they arrive knowing a few faces. Book by Wednesday, February 24, 2027.
  • The 6 weeks before

    No staff events

Registration, speakers, sponsors and the program. Don't ask the staff to play a game in April.
  • Two weeks after

    The staff thank-you

A kit workshop on Wednesday, May 26, 2027. Book it before the rush, by Wednesday, May 5, 2027, so addresses are in on time.
  • Between conferences

    Keep members coming back

A member appreciation night on Thursday, September 16, 2027, ahead of your renewal season. Book by Thursday, September 2, 2027.

Boards, committees and chapters

An association is a set of smaller groups. Each one needs its own kind of event.

  • The board

Ten to twenty volunteers who meet a few times a year. A hosted game after the first day of a board meeting turns a business agenda into a working group.
  • Committees and volunteer leaders

The members who do the unpaid work. Thank them with a small kit workshop, separate from the general membership.
  • Chapters in many cities

Book once at national and let each chapter pick a date, or run several chapters at once as a multi-event program.
  • Members across time zones

Pick a midday Eastern start so the West Coast isn't at breakfast, or run the same game twice.

What member events cost for 25, 100 or 250 people

Totals for the whole group from our live catalog prices. Games grow in blocks; shows and networking are one flat fee.

  • Invoice and PO. Pay by card, or by invoice with a PO from your finance office.
  • A sponsor can cover a member event. Ask a sponsor to fund the member social, and thank them by name in the welcome. How you record it is up to your finance office.
  • Free for members, or a small fee. Some associations make the social a member benefit, others add it to the registration.
  • A flat fee for a big audience. A show priced once for the group costs less per member the more people register.
  • Your logo on screen. Events can be customized with your backgrounds or questions, sometimes at an added cost. Allow about 4 weeks.

Association team building questions

What is the best team building for an association?

Plan two kinds of event. For the staff, a hosted game or kit workshop about two weeks after the annual conference, never in the crunch before it. For members, hosted games at chapter meetings, a member appreciation show, and virtual networking between conferences. Each runs about 60 minutes on your video call.

What are good virtual events for association members?

A hosted game show or poll game to open a chapter meeting, an interactive magic show for member appreciation, speed networking for members who want to meet peers, and a tasting kit for committee chairs and volunteer leaders.

How do member engagement events fit around the annual conference?

Use the months between conferences. A networking hour for first-time attendees before the conference, then a member appreciation night ahead of your renewal season. Keep staff events out of the weeks before the conference.

How is this different from team building for a nonprofit?

A charity runs on donations and volunteers, so its page is about low-cost staff and volunteer events; see team building for nonprofits. An association serves members who pay dues, so it also runs member events: chapter meetings, member appreciation and networking.

Can we run the event on our own event platform?

Hosted games run on Zoom by default, or on Microsoft Teams, Google Meet or Webex on request. Music bingo is Zoom only, and speed networking runs on its own networking platform. If your conference uses a different platform, put a Zoom link in the agenda and ask us what works.

How much do association member events cost?

Most hosted games are one package for up to 25 people, with added guests in blocks, which suits a staff event or a chapter meeting. For a big member audience, a flat-fee show costs the same whether 80 or 250 members come. Your Favorite Game Shows! is $39 a person for a group of 25 ($975 package). The Actual Virtual Magic Show is $128 a person for a group of 25 ($3,200 flat). Every card on this page shows its live price.

How far ahead do I book?

About 2 weeks for a hosted game or show, about 3 weeks for a kit workshop shipped to US addresses, and about 5 weeks with anyone in Canada or abroad. Allow about 4 weeks if you want your logo or custom questions.
