Spot bonus: what it is, how much to give and a simple policy

A spot bonus is a small, one-time reward given soon after an employee does something beyond their usual job, outside the regular bonus cycle. It can be cash or a non-cash spot award like a gift or an experience, and it works best when it is quick, specific and explained in one sentence.

Spot bonus, spot award or annual bonus?

  • Spot bonus: a one-time cash payment for a specific contribution, paid soon after, through payroll.
  • Spot award: the same idea without cash, such as a gift, an experience or extra time off.
  • Annual bonus: planned in advance and tied to yearly goals or company results.
  • Incentive: a reward promised before the work, for hitting a set target.

Spot bonuses are common. About 60% of organizations use them, and 81% of those give them for special recognition, according to WorldatWork’s 2024 Bonus Programs and Practices report (opens in a new tab). For rewards promised ahead of time, see our employee incentive ideas.

How much is a spot bonus?

There is no standard amount; it depends on the size of the contribution. Caps vary widely too: in WorldatWork’s 2009 Bonus Programs and Practices survey (opens in a new tab), 40% of companies capped spot bonuses for professional staff between $1,000 and $5,000, and 20% capped them under $500.

Most awards sit well below any cap. Three tiers keep it simple; treat these amounts as a starting point for your own budget:

  • Thanks: $50 to $150, or a gift. A save or an extra effort that helped the team this week.

    Approval: Manager decides alone.

  • Above and beyond: $250 to $500. Weeks of extra work, or a result that changed a project's outcome.

    Approval: Manager plus their manager.

  • Big impact: $1,000 or more. A measurable win for the company, such as a large saving or a kept customer.

    Approval: Department head and HR.

When to give a spot bonus

The best moments are specific and recent. Eight that clearly qualify:

  • Covered a teammate's work during a leave or a crunch, on top of their own.
  • Caught an error before it reached a customer or a payroll run.
  • Found a fix that saves real money or hours every month.
  • Took a hard customer call and kept the account.
  • Stayed late or came in early to get a launch or a move done.
  • Trained a new hire well beyond what their role asks.
  • Wrote the guide or checklist everyone now uses.
  • Earned a certification that lets the team take on new work.

Three times a spot bonus is the wrong tool:

  • Routine work that is already in the job description.
  • Making up for a raise or a promotion that should happen.
  • Rewarding only the people who are most visible to leaders.

Cash or a non-cash spot award?

Each form lands differently. Ask people which they prefer, then offer a choice.

  • Cash. Flexible and clear; easy to forget once it lands in a paycheck. US tax: Taxable pay, withheld through payroll.
  • Gift card. Quick to send; works best when they pick the store. US tax: A cash equivalent, so taxable pay at any amount.
  • Gift. Arrives as a real moment, with a note that says why. US tax: Depends on value and how often; ask payroll.
  • Experience. A class or a tasting they remember long after. US tax: Depends on value and form; ask payroll.
  • Time off. Often valued most by busy people; no shipping needed. US tax: Paid as normal wages on the day taken.

For a quick thanks, a gift with a note often lands better than the same amount in a paycheck. Three from our catalog that fit the first tier: Signature Truffle Collection ($32), The Bridgehampton ($38) and Quogue Luxury Gift Box (Medium) ($58). Each one ships to the person’s own address with a personal note. See more on our thank-you gifts and employee appreciation gifts pages.

When a whole team earns it, make the spot award something they share: a hosted game on your next team call, or a kit workshop where every guest gets the supplies at home and a live host leads the session. Today’s prices:

How to announce a spot bonus

  1. Tell them first, within days. In person or on a call, before any public post.
  2. Name the action and its effect. "Your fix cut the report from two days to two hours."
  3. Give the amount and when it pays. So nobody hunts through a paystub wondering.
  4. Ask before you go public. Most people like a team shout-out; some prefer a quiet thanks.
  5. Put it in writing. A short note they can keep, copied to HR for the record.

Three message templates

  • Private note

[Name], thank you for [what they did]. Because of it, [result]. To say thanks, you'll get a [$amount] spot bonus in your [date] paycheck. It was well earned.

  • Team channel post

A shout-out to [Name], who [what they did] this week. The result: [result]. Thank you, [Name]. This is exactly the kind of work we want to recognize.

  • Non-cash spot award

[Name], [what they did] made a real difference to [team or customer]. A small thank-you is on its way to you: [gift or experience]. Enjoy it.

Spot bonus taxes: the US basics

IRS Publication 15 (opens in a new tab) (2026) lists bonuses, awards and prizes as supplemental wages. When a spot bonus is paid separately from regular wages, employers can often withhold federal income tax at a flat 22% (37% on supplemental wages over $1 million in a year), and social security, Medicare and FUTA taxes apply whichever method is used.

Gift cards are cash equivalents: under IRS Publication 15-B (opens in a new tab) they are never a tax-free de minimis benefit, however small. Some companies raise the amount so the employee keeps the full award after tax (a gross-up); in WorldatWork’s 2009 survey, 47% never did, 40% sometimes did and 13% always did.

This is general information, not tax advice. Check with your payroll provider before you set amounts.

Questions about spot bonuses

What is a spot bonus?

A spot bonus is a small, one-time cash reward given soon after an employee does something beyond their usual job, outside the regular bonus cycle. When the reward is a gift, an experience or time off instead of cash, it is usually called a spot award.

How much is a typical spot bonus?

Amounts vary widely by company and by the size of the contribution. A simple way to set them is three tiers: a quick thanks of $50 to $150 or a gift, $250 to $500 for weeks of extra effort, and $1,000 or more for a measurable win, with higher approval for bigger awards.

Are spot bonuses taxed?

In the US, a cash spot bonus is a supplemental wage under IRS Publication 15. Employers can withhold federal income tax at a flat 22% (37% on supplemental wages over $1 million in a year), and social security and Medicare apply. Gift cards count as cash equivalents. This is general information; check with your payroll provider.

What is the difference between a spot bonus and a spot award?

A spot bonus is cash paid through payroll. A spot award is non-cash: a gift, an experience, extra time off or a hosted team event. Many companies use both and let the employee choose. Our thank-you gifts page has non-cash options with prices.

How often should you give spot bonuses?

Whenever a real contribution happens, not on a schedule. A cap per person per year and a budget per manager per quarter keep them fair and affordable. For everyday thanks between awards, see our employee recognition ideas.

Can a whole team get a spot award?

Yes. When a team pulls off a launch or a hard quarter together, a shared reward works well, such as a hosted game or a kit workshop where every guest gets the supplies at home. See our team building kits.
