What to say in a retirement card
Four parts, one sentence each. It works whether you knew them for a year or a whole career.
- Congratulate them by name. “Congratulations, Maria” or “Happy retirement, Sam.” A name makes even one line personal.
- Name one real thing. A habit, a project or a moment the two of you shared. This is the line they will reread.
- Say what you'll miss or what you learned. One sentence. It tells them the years mattered to someone.
- Wish them something specific. The garden, the boat, the trip they keep mentioning. If you don't know their plans, wish them slow mornings.
Put together: Congratulations, Maria. I'll never forget how you walked me through my first audit without once looking at the clock. I'll miss your Monday questions. Enjoy every morning in that garden.
What to leave out:
- Age. No “over the hill,” no “about time,” no countdowns.
- Health. Wish them adventures, not a rest they didn't ask for.
- Money. Pensions, savings and what the party cost all stay out of the card.
- Guilt. “We'll be lost without you” from a manager lands as pressure, not praise.
- Jokes only the office understands, if the card is going home to their family.
How to fill a group card so 20 people don't write the same line
The first signer writes “Congratulations, we'll miss you” and everyone after copies it. Give each person a different job instead. Paste this note wherever you ask people to sign.
Note for the card signers
We're signing [Name]'s retirement card. So it isn't 20 versions of “congratulations, we'll miss you,” pick one of these and write a line or two: 1. A memory: a day, a project or a moment with them you still think about. 2. A thank-you: one thing they taught you or did for you. 3. Something you'll miss: a habit, a phrase, the way they ran a meeting. 4. A first impression: what you thought the day you met them. 5. A wish for their plans: the trip, the garden, whatever they keep mentioning. 6. A joke about work life, never about age. 7. One word that sums them up, and why. 8. A promise: lunch in the spring, a visit, a phone call. Sign with your full name. The card closes on [date].
- Start the card two weeks before the last day, so remote and part-time colleagues can sign.
- Ask the people who know them best to sign first. Their lines set the tone for everyone after.
- More than fifteen signers? Add a second card or switch to a memory book with a page each.
- Remote team? A digital card or one shared slide per person works the same way.
