Team building for government contractors
Team building for government contractors works best as a 60-minute hosted game or workshop on video, so program staff at company offices and client sites join the same session. Settle two things first: which video tool people on the client network may use, and which charge code the hour goes on.

Plan for where your program teams sit
One program can sit in four places at once. A hosted hour on video is the one format that reaches all of them.
Company office
Headquarters and regional offices
Gather the people in each office around one conference room screen, and put everyone else on their own laptop.Client site
Staff working at the customer's building
Some can't open every video tool on the client network. Check the program's IT and security rules, and plan for a meeting room or a company laptop off that network.Teleworking
People at home or on the road
They join on their own laptop like any remote team. Kits go to whatever address each person enters. No phones
Spaces where phones stay outside
Pick an activity that needs only a screen. Skip the ones that ask people to scan a QR code with a phone.

Who pays, and which code the hour goes on
For contractor staff, the money question comes before the activity.
This is general information, not accounting or legal advice. Check with your finance, contracts or ethics team before you book.
- Company money, not contract money. Staff events usually come out of a company budget, such as overhead, indirect or a morale fund. Check how your company charges it.
- The hour on the timesheet. People who bill hours to a contract need to know which charge code the hour goes on. Settle it with finance before the invite goes out.
- Two cost rules, two accounts. The FAR covers employee morale costs (31.205-13) and entertainment costs (31.205-14) in separate sections, so ask your contracts or finance team which one an event falls under.
- Keep government customers out of it. Inviting agency staff brings in federal gift rules. Our government team building page covers the agency side.

What it costs for a task team, a program or a division
Games and workshops are a package price for the group, so the cost per person drops as more people join. Kits are a base fee plus a price per kit.
The second line in each cell is the cost per person, handy when finance asks for it.

The contractor calendar for fiscal year 2027
Fiscal year 2027 runs October 1, 2026 to September 30, 2027. Plan the event around the government's year, not just your company's.
Oct 1, 2026
Fiscal year 2027 began
The federal fiscal year starts October 1 and ends September 30. A new contract, option year or task order is a natural time for a program kickoff.December 2026
The program holiday party
For Thursday, December 17, 2026, book a hosted game by December 3 and kits for US addresses by November 25. With anyone in Canada or abroad, kits need about 5 weeks. Ideas on the virtual holiday party page.January to April 2027
The quieter stretch
Mid-year is a good time for a skill workshop or a game that welcomes people who joined on a new award.September 2027
Skip the year-end push
The last month before September 30, 2027 is busy for many programs. Hold the event for August, or after fiscal year 2028 starts on October 1, 2027.
Buying it through finance
What a contractor's finance or contracts office usually asks for.
- A written price first. Every activity page shows the total for your headcount, and a free quote comes back as a plan within 24 hours.
- Purchase orders and invoices. A booking on a PO gets an invoice instead of a card charge. Card works too, with a 50% deposit.
- One account, a budget per program. Enterprise accounts get monthly invoicing and a monthly budget for each team, so each program books from its own line.
Government contractor team building questions
What is good team building for government contractors?
A 60-minute hosted game or workshop on video, so program staff at company offices, client sites and home can join one session. Check which video tool people on the client network may use, and which charge code the hour goes on, before you send the invite.
Can employees at a client site join?
Usually, from a meeting room or a company laptop. Some client networks block certain video tools, so check the program's IT and security rules first. We run on Zoom by default and on Microsoft Teams, Google Meet or Webex on request.
Who pays for a contractor's team building event?
The company, usually from an overhead, indirect or morale budget rather than a contract. The FAR covers employee morale costs (31.205-13) and entertainment costs (31.205-14) in separate sections, so ask your finance or contracts team how your company charges it. This is general information, not accounting or legal advice.
Can we invite our government customers?
That is a different event with different rules: federal employees are limited in what they may accept from a contractor. Keep staff events for your own staff, and check with your ethics or legal team before inviting anyone from an agency.
Do you accept purchase orders?
Yes. A booking on a purchase order gets an invoice instead of a card charge. Card payment with a 50% deposit works too, and enterprise accounts can take one monthly invoice with a budget per team.
When is the best time of year?
Avoid September, the last month of the federal fiscal year. October after a new fiscal year starts, December for the holiday party, and January to April all work well. Book hosted games about 2 weeks ahead and kit workshops about 3 weeks ahead for US addresses.
