How far in advance should we book our event?

Accepted Answer

We recommend booking at least 7 days before your experience. If you need a faster turnaround, contact us! We’re happy to make it work. There’s no limit on how far in advance you can reserve your date.

What web-conferencing platforms do you support?

Accepted Answer

Our virtual events are hosted on Zoom by default, but we are happy to accommodate your team's preferred platform, including Microsoft Teams, Google Meet, and WebEx. If you'd like to use a different platform, please provide the link to your event manager after booking. We just ask that someone is available to grant our host access a few minutes before the event starts.

Question 3

I'm not sure how many people will attend. What headcount should I provide?

Accepted Answer

Please provide your best estimate based on past events or expected attendance. We use this number to assign hosts and resources. We can be flexible if more people join on the day of the event, but providing an accurate estimate ensures the best experience. If the final number of participants is significantly higher than your estimate, we will send a follow-up invoice for the difference.

Question 4

Is this experience suitable for hybrid teams (in-office and remote participants)?

Accepted Answer

Absolutely! Our hosts are experienced in leading events for hybrid groups. For the best experience, we recommend having a dedicated screen in the office where the group can see and hear the host, and ideally, where the host can see and hear the in-office participants. We suggest testing your setup with the event link beforehand to ensure everything runs smoothly.

What happens after I book the event?

After booking, you will receive a confirmation email with a calendar invite and a Zoom link for your event. Your assigned event manager will then reach out to confirm the details. For activities with kits, they will provide you with a form to collect shipping addresses. An invoice will be sent once the final headcount is confirmed, with payment due two weeks before the event.

Question 6

How is shipping and address collection handled for activities with kits?

Accepted Answer

After booking an activity with a kit, your event manager will provide you with an address collection form. You can either distribute this form to participants to fill out directly or provide a bulk list of addresses if you already have them. Addresses must be submitted at least 16 days prior to the event. Kits typically arrive 3-10 days before the event, and tracking information will be provided.
